What is Centralized Brand Asset Management, and Why You Need It

As you are responsible for the creation of audio, video, interactive ads, signage, apparel, brochures and a host of other assets, you also are in charge of managing and maintaining those digital and printable assets. If it simply stayed within your department, then all you need to worry about is the most current version when updates and/or modifications are made.

But it doesn’t. It has to be distributed…and tracked.

What We Know

We know there’s technology out there that helps to control, access and report on digital assets. That’s a DAM or Digital Asset Management. You know there’s value, you may even have a DAM. What gives us pause is the cost, labor and time that goes along with a DAM. Most times, you need a part-time to full-time person to manage a DAM once it’s set up.

We also know that digital assets are needed by other offices, partners, resellers, or even distributors and franchises. The digital assets need to be modified, ordered, sent and tracked. Sometimes with an added logo or change of address, email and phone…sometimes a new graphic or content needs to be added. Now things just got complicated.

Can It Be Fixed?

It can be if you answer ‘yes’ to this question. While maintaining ultimate control, are you willing to let internal employees, other office, partners and/or franchises view your digital and print assets, pick which one’s they want with quantities, pay for it (if you choose) and have it fulfilled and shipped?

If you answered ‘yes’, then keep reading.

Enter… Centralized Brand Asset Management System. It’s a fully responsive, scalable software solution that works like an e-commerce system where you can store, access, order and fulfill digital and print assets. Store forms, signage, video, audio, uniforms supplies. That’s a wide variety of items that can ordered, fulfilled and sent.

What if the item needs to be modified? Like a different logo, address, phone and email? During the ordering process, the purchaser can upload and drop in their content and ‘see’ exactly what the final product will look like. You set the boundaries of where it is to be located, all they do is supply the content and it’s ready to go.

What if it’s an ad? Or billboard? Or anything that needs to be sized to specification? Again, you supply the elements for the ad, billboard or other advertising and where they need to be placed and our software simply adjusts it to the specific inputted size. It’s fast, it’s automatic and it reduces or even eliminates a part or full-time person needing to make the modifications, send it for approval, modify again, approve again before it goes live.

Managing Your Brand Across All Channels

If you are a marketer that works with resellers, franchise owners or distributors of your product and services then you have the challenge of managing your brand across multiple channels. Managing your brand digitally or online is only one aspect of managing your brand. You also have to ensure your brand is being represented properly on premium items, signage, videos, invoices and of course your product or services.

One of the most common ways marketers have been managing the brand is through the DAM Digital Asset Management software. Digital Asset Management does a good job of organizing your images, videos and other assets, but it forces you to give permissions each time an asset is requested. If you have 5, 50 or 500 resellers, distributors or franchise owners across the country or internationally, that poses a challenge for you and your marketing team.

If your marketing department needs to control all assets such as signage, shirts, forms and more, and you want it to automate the process, then you need to take a look at Captum Technologies’ Centralized Brand Asset Management system. All of the items in the Centralized Brand Asset Management system is already approved by marketing and loaded up into the system like an e-commerce website. The distributor, reseller or franchise owner can login, choose the items they need and go to checkout. Marketing sets the price from $0 to whatever you want to charge and the asset is ordered and either sent or downloaded by the purchaser.

Marketing can run a report as often as necessary and view all of the assets sent or downloaded for the day, week, month, quarter or year. Decentralize the work / self-serve while maintaining control with preset rules and approval processes.

When is it OK to Modify Your Company Brand

Have you ever gone onto the Internet and found your company logo on websites, forms and documents in various shapes, colors and sizes? Marketing is in a constant battle to manage their brand assets such as logos from being used in ways that improperly represents your company’s brand.

Marketing departments each day discover ways their resellers, distributors or franchise owners use their brand assets in creative ways. Have you ever found your logo in various shades? I know from experience the various shades of blue I’ve uncovered on Captum Technologies’ logo. We found the logo to be a little taller, or a bit more compact than it’s supposed to be. There’s lots of various solutions out there to help manage our digital or printable assets, but I know I found it difficult to track who has access into the system.

It was interesting how one of my marketing team members shared his/her password and a week later about 20 more people had the password. Sales reps, partners and more found it to be like Christmas in July. Many of our assets were downloaded, used, manipulated, put on various items we would not have approved etc. So how to control the craziness?

We used our own product, Centralized Brand Asset Management system. This way, we created all of the items needed with our logo and PMS color properly used. We uploaded it into an e-commerce system where our partners can choose what they want/need and check out like a standard e-commerce system. I got the report and I know who downloaded which asset, such as video, apparel and a form, and know exactly what they used and how many. Now I can focus my attention on selling and running the business.
